Make a Slide Deck Easier to Read, Navigate and Share

A presentation can look attractive on the creator's screen while being difficult to follow in a meeting or read afterward. Small labels disappear on a projector, an important distinction exists only in color, and a shared PDF loses the explanation that made a diagram understandable. Designing for accessibility improves the deck for people in many different viewing conditions, not only those who have requested an accommodation.
Begin with the message and the audience rather than a decorative template. Decide what people need to understand during the presentation and what they should be able to retrieve later. The live slides, speaker notes and shared reference version can support different needs while remaining consistent with one another.

Give every slide a clear job
Write the main point of each slide in a sentence before choosing its layout. If the slide contains several unrelated points, split them or decide which one matters most. A title such as Results gives little help to someone navigating the deck later. A more descriptive title can explain what the results show without requiring the reader to interpret the whole slide first.
Keep the order predictable. Introduce the question, show the relevant evidence and explain the implication. This structure helps people who join late, use assistive technology or need additional time to process a complex diagram. It also exposes slides that exist mainly because an available template had an attractive arrangement of boxes.
Make text readable in the actual setting
Test the deck at the distance and screen size people are likely to use. A comfortable font on a laptop can become tiny in a large room. Avoid placing essential information in dense footnotes or inside a screenshot that cannot be enlarged during the talk. If detailed information is necessary, provide it separately in an accessible reference document.
Use consistent typography and enough spacing to distinguish headings, body text and labels. Large type alone cannot rescue a slide packed with several competing blocks. Reduce unnecessary words before shrinking the font. Keep important labels close to the elements they describe so viewers do not have to repeatedly look between a chart and a distant legend.
Use color as reinforcement rather than the only signal
If red and green distinguish two states, add text labels, symbols or patterns that communicate the same difference. People may view the deck in grayscale, on a low-quality display or with different color perception. A chart should remain understandable when color is less useful than you expected.
Check contrast between text and its background, especially where text sits over a photograph. A dark overlay or a plain text panel may improve readability more than a different font. Use your presentation software's accessibility tools and current accessibility guidance to evaluate specific choices. A visual impression of contrast is helpful, but it is not a substitute for a proper contrast check where one is needed.
Describe meaningful images and diagrams
Add appropriate alternative text to images that communicate information. Explain the purpose of the image in the context of the slide rather than listing every visible object. A chart's useful description may need to state its main comparison and direct readers to the underlying data. Decorative imagery can be marked as decorative when the software supports that distinction.
Do not assume that alternative text replaces a clear spoken explanation during the presentation. Describe the important parts of a diagram aloud and avoid phrases such as as you can see over here without identifying the element. If the visual is too complicated to describe concisely, consider whether it should be simplified or divided into several stages.
Check reading order and structure
Objects placed visually from left to right do not always follow that order for assistive technology. Use the application's reading-order or selection tools to inspect the sequence. Built-in layouts can provide a better starting point than a collection of freely positioned text boxes, although they still need checking after substantial edits.
Give slides meaningful titles and use real lists where the software supports them. Avoid turning all text into an image merely to preserve a particular appearance. That can make searching, copying and assistive reading harder. When sharing the deck, inspect the exported format too: accessibility information can be lost or changed during conversion even if the source file was prepared carefully.
Treat audio and video as part of the document
If a presentation includes video, provide accurate captions and check that they remain available in the setting where the video will play. Captions should be reviewed rather than assumed correct because they were generated automatically. Names, specialist terms and quiet speech are common places for errors to change meaning.
Provide a transcript or equivalent information where appropriate, especially if the recording will be shared separately. Do not put essential instructions only in audio that some participants cannot hear. Test playback, volume and the availability of a non-streaming fallback before the event if connectivity may be unreliable. The content should remain understandable when a media element fails to play.
Prepare a useful shared version
Slides that work with a speaker may be sparse or ambiguous when read alone. Add supporting notes or provide a short companion document that explains the argument and links to sources. Avoid solving this by filling the live slides with paragraphs that the audience must read while listening to you speak.
Make links descriptive. A label explaining the destination is easier to understand than a long raw address or repeated click here text. Verify that shared files are accessible to the intended recipients without requiring an account they do not have. If a source is restricted, explain the access requirement rather than replacing it with an unauthorized copy.
Rehearse with a different reader
Ask someone who did not build the deck to identify the main point of a few representative slides. Include a chart, a diagram and a text-heavy example. Their difficulty may reveal missing context even if they have no particular accessibility needs. Also try keyboard navigation and the application's accessibility checker, then address the issues that affect actual use.
Imagine a participant reading the exported deck on a phone after the meeting. Can they find a section, understand a figure and follow a reference? That test encourages better structure without requiring the live presentation to become a full report. Accessibility is most effective when it is part of the editing process rather than an extra inspection after every design choice is already fixed.
